Position Overview

Contently is looking for an Office Administrator to lead office operations, work closely across all departments and with all Contently partners and vendors ensuring we represent the Contently brand strongly in the market as well as for the organization internally.

Your Responsibilities:

  • Oversee reception area
    • Be the face of Contently
    • Ensure a positive, client service focused and structured experience: greeting visitors, sign in, coat/baggage, maintaining a polished front area, powder room shares, departure farewells
    • Opening/Closing of office: preparing coffee, emptying AM/loading PM dishwasher, receiving and unloading AM grocery delivery
  • Prepare and distribute  internal information for team members
  • Maintain and stock inventory of office supplies, food & beverage supplies
  • Ensure facilities are maintained, identify and coordinate office repair needs with building maintenance and vendors
  • Oversee incoming and outgoing mail
  • Assist with light IT work such as setting up computers, printers, access for new employees
  • Keep conference rooms tidy, stocked and organized
  • Handle purchasing & expense reconciliation
  • Manage subscription allocation
  • Work closely with People Operations for Employee on/offboarding
  • Assist in planning and setting up company events on-site and off-site
  • Help leadership team with travel logistics
  • Special tasks and projects, as needed

Qualifications

  • Startup, go getter and agile mindset
  • Understand, appreciate and uphold the importance of using discretion and confidentiality
  • 2-3 years of office management experience including purchasing, budget/vendor management
  • Experience supporting 50 – 100 employees
  • Excellent communication etiquette and ability to establish rapport with diverse clientele
  • Attentive, ability to work independently and prioritize tasks
  • Highly organized and self-motivated
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities and customer service approach
  • Excellent written, verbal and social communication skills
  • IT literate with good Apple & Microsoft Suite skills (excel, calendaring, online tools), and an aptitude to become quickly familiar with new systems
  • This is a hands-on position, including physical components such as moving pieces of office furniture
  • Enthusiasm for handling diverse tasks of varying complexity, and able to maintain a positive attitude towards routine tasks

**This is a part-time position. There are up to 29 hours per week available for this role, with ideal working hours of 8:30am-4pm, four days a week**
